1. Who we are

The Paw Booker is a trading name operated in England and Wales. We are the data controller for the personal data we collect about you, the grooming business owner, when you use our website and services.

For your clients' data, you are the data controller and we act as a data processor on your behalf. This is explained further in section 3.

We are registered with the Information Commissioner's Office (ICO). Our ICO registration number is [ICO REGISTRATION NUMBER - insert when registered].

2. What data we collect and why

When you use our website or sign up to our services, we may collect the following information about you:

Payment information To process your subscription payments. We do not store full card details ourselves. Payments are handled by our payment provider.
Messages and support conversations To resolve issues and improve our service
Usage data and platform analytics To understand how the platform is being used and improve it over time

We do not collect any special category data (such as health information) about you or your clients as part of our normal service.

3. Your clients' data

When you use The Paw Booker to manage your grooming business, your clients' personal data (names, phone numbers, email addresses, appointment history, dog details and so on) is stored and processed within our platform.

In this arrangement:

  • You are the data controller. You decide what data is collected and why.
  • We are the data processor. We process that data only on your instructions and for the purposes of providing your services.

This means you are responsible for ensuring you have a lawful basis to collect and use your clients' data, and for being transparent with your clients about how their data is used. We can provide template privacy notices for your own website if that would help.

We will never use your clients' data for our own marketing, sell it to third parties, or use it for any purpose other than providing your The Paw Booker services.

A Data Processing Agreement (DPA) is available on request, which formally sets out our obligations to you as a data processor under UK GDPR.

4. Our lawful basis for processing

We process your personal data on the following lawful bases under UK GDPR:

  • Contract: We need to process your data to provide the services you have signed up for and to manage your account.
  • Legitimate interests: We may process certain data for our legitimate business interests, such as improving our platform, preventing fraud, and communicating with you about relevant updates to our service.
  • Legal obligation: We may need to retain certain data to comply with our legal and tax obligations.

We do not rely on consent as our lawful basis for processing your business data, though we will always ask for consent where required, such as for optional marketing communications.

5. Third parties we work with

To provide our services, we work with a small number of trusted third party technology providers. These include:

  • GoHighLevel: The underlying software platform that powers the booking, CRM, automation and messaging features of The Paw Booker. Your data and your clients' data is stored within GoHighLevel's infrastructure. GoHighLevel is certified under applicable data protection frameworks.
  • Payment processor: To handle subscription billing securely. We will name our payment provider specifically once selected.
  • Email and SMS delivery providers: To send automated messages on your behalf to your clients.
  • Website hosting: To host the websites we build for our clients.

We only share the minimum amount of data necessary with each provider. We do not sell data to advertisers or any third party.

Some of our providers may process data outside the UK or EEA. Where this happens, we ensure appropriate safeguards are in place in line with UK GDPR requirements.

6. How long we keep data

We keep your account data for as long as your subscription is active, plus a reasonable period afterwards to resolve any disputes or comply with legal obligations. In most cases this is no longer than two years after your subscription ends.

If you request deletion of your data, we will action this within 30 days, subject to any legal obligations that require us to retain certain records (such as financial records, which we are required to keep for six years under UK tax law).

Your clients' data within the platform will be deleted within 14 days of your subscription ending, unless you have requested an export in advance.

7. Your rights

Under UK GDPR, you have the following rights in relation to your personal data:

  • Right of access: You can request a copy of the personal data we hold about you.
  • Right to rectification: You can ask us to correct any inaccurate data we hold.
  • Right to erasure: You can ask us to delete your data, subject to certain legal exceptions.
  • Right to restriction: You can ask us to pause processing of your data in certain circumstances.
  • Right to data portability: You can request your data in a portable, machine-readable format.
  • Right to object: You can object to our processing of your data where we rely on legitimate interests as our lawful basis.

You also have the right to lodge a complaint with the Information Commissioner's Office (ICO) at ico.org.uk if you are unhappy with how we have handled your data. We would always prefer you to come to us first so we can try to resolve it directly.

8. Cookies

Our website uses a small number of cookies to make it work properly and to understand how visitors use it. We do not use advertising cookies or track you across other websites.

The cookies we use include:

  • Essential cookies: Needed for the website to function. You cannot opt out of these.
  • Analytics cookies: Help us understand how people navigate the site so we can improve it. These are anonymised and do not identify you personally.

You can control cookies through your browser settings. Disabling cookies may affect how parts of the website function.

9. Security

We take the security of your data seriously. Our platform uses industry-standard encryption for data in transit and at rest. Access to customer data within our team is restricted to those who need it to provide your services.

No system is completely risk-free. In the unlikely event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify you and the ICO as required by law.

Please ensure you keep your login credentials secure and let us know immediately if you suspect unauthorised access to your account.

10. Changes to this policy

We may update this privacy policy from time to time. If we make any significant changes, we will notify you by email. The date at the top of this page always reflects when it was last updated.
